Distinguish contact volume from demand
Count submitted inquiries separately from abandoned drafts, repeat submissions and visits. Review the requested product, project location, buyer role and readiness. A large contact list can contain unsuitable requests that consume time while an identifiable, viable pergola project waits without an owner.
Retain the product context
A salesperson needs the chosen range, approximate dimensions, roof preference and unresolved questions. Specify how the inquiry will carry that product information to sales. Assign routing and required fields according to the business's service territory, catalog and team responsibilities rather than sending every inquiry to the same undifferentiated queue.
Measure the queue the team can act on
Create separate queues for new submissions, projects needing product advice, quotes ready to prepare and proposals awaiting a customer decision. Give each request an owner and next action date. A request outside your installation area might need a supply-only answer or referral, while missing dimensions might call for a short discovery conversation. Review the oldest unassigned request and the oldest overdue action each working day.
