Find the duplicate entry
Follow one project through email, design software, spreadsheets, document tools and calendars. Record every place the team retypes dimensions, customer details or chosen accessories. The risk is not simply having several applications; it is maintaining different versions of the same commercial specification without an authoritative owner.
Define the record that joins the steps
For each application, name the record it owns: customer details, product specification, quote, survey or appointment. Carry a project reference between them and record the configuration version used for pricing. For example, a survey changing the projection should create a visible revision for the estimator, with the previous customer proposal still retrievable. This ownership map tells you which connections need implementing and which duplicate spreadsheets can be retired.
Consolidate deliberately
Keep specialist systems that perform necessary work, and specify how their records connect. Test a dimension change after the first proposal, a reassigned salesperson and a rescheduled survey. Review whether the customer PDF, internal record and next action remain aligned before removing an application that still carries a required responsibility.
