What order status should customers see after configuration?

Design customer-facing order tracking that explains progress and next actions without exposing internal production notes or unrelated customer records.

Customers should see order information that helps them understand progress and required actions. That does not mean exposing every internal factory status. Define a deliberate mapping between operational records and customer-facing messages, including who owns updates and how delays are explained.

Start with the customer's next question

A buyer may want to know whether measurements are approved, whether an offer has been accepted or whether an installation date is confirmed. An internal code such as a workstation queue number may not answer those questions.

Write customer-facing meanings with the teams that perform the work. Avoid labels that imply a confirmed date when the underlying record only indicates a planning estimate.

Customer questionEvidence to define
Is my specification complete?Required decisions and review status
Has my order been accepted? The relevant commercial confirmation
What happens next?Named stage and required customer action
Is the date confirmed? The system and owner confirming it
What changed?A clear update linked to the project revision

Separate public messages from internal detail

Production notes may contain supplier information, employee comments or records irrelevant to the customer. Decide which fields are permitted in the portal and which remain internal. Use ordinary customer and dealer accounts to test those boundaries.

Also test two customers with similar project names. A search or saved link must not reveal an unrelated order simply because its reference is easy to guess.

Define update and exception ownership

A portal is useful only when its information is maintained. Identify which statuses come from integrations and which are entered by staff. When a connection fails, the application should not present an old estimate as a fresh confirmation.

Agree how unresolved questions are handled. A message asking the customer to contact the team can be appropriate when it identifies the project and useful next action, rather than concealing uncertainty behind a misleading progress bar.

Specify the Configurix customer journey beyond the offer

Custom Configurix software can connect the configuration to an agreed order-management workflow. Describe the customer and dealer information you want to expose, the source of each update and the permissions required. Confirm the actual portal and integration scope in the proposal.

Must customers have access to the ERP to track an order?

No. A customer-facing application can present an agreed subset of information. The data mapping and permission model still need to be implemented and tested.

Should every internal status generate a notification?

Not necessarily. Choose meaningful events and required actions. Too many technical updates can confuse the customer without improving service.
