What information is needed for an accurate configurator proposal?
Prepare a configurator quotation brief with representative products, rule exceptions, output documents, user roles and integration examples.
Table of contents
- Show a representative product and a difficult one
- Describe outputs in the form your team uses
- Identify the work nobody has assigned
- Use the brief to make the Configurix discussion concrete
- Do we need final CAD models before requesting a proposal?
- Should we send every product in the catalogue immediately?
An accurate configurator proposal needs representative examples of your product and workflow, not a perfectly cleaned database before the first conversation. Bring enough information to reveal the difficult choices, required outputs and system boundaries. Unknowns should become discovery tasks rather than disappear inside a fixed-looking total.
Show a representative product and a difficult one
A standard product explains the normal sales journey. A difficult product reveals exceptions: unusual dimensions, incompatible options, supplier substitutions or engineering review. Include both, with the rules your staff currently apply.
For each example, show the information available before quotation and the information added later. A customer may provide approximate dimensions while a surveyor confirms measurements. The proposal should identify which stage the configurator supports.
| Brief item | Useful example |
|---|---|
| Product choices | A current specification with selected options |
| Rule complexity | One permitted and one rejected combination |
| Commercial calculation | A reviewed offer with its price basis |
| Factory output | An accepted material list or job record |
| Integration | Required fields and a receiving-system example |
Describe outputs in the form your team uses
If you need a bill of materials, provide a reviewed example and explain its units, revisions and intended recipient. If you need a quotation PDF, identify which sections vary by product, customer or dealer. If you need an ERP order, show the required record rather than only naming the ERP.
Remove customer details that are not necessary for scoping. The supplier usually needs to understand the record structure and workflow, not retain unrelated personal information from previous orders.
Identify the work nobody has assigned
Someone must own product decisions, approve visual models, verify prices and obtain integration access. Record those people or roles. Missing client-side ownership can affect a project even when the software supplier has enough developers.
Ask the proposal to distinguish confirmed requirements, assumptions and work that needs investigation. A supplier should be able to explain what additional evidence would allow an uncertain item to be scoped.
Use the brief to make the Configurix discussion concrete
The Configurix requirements checklist can help organize this information. A custom implementation may connect configuration, commercial documents, BOM preparation and factory systems, but the requested connections should be evidenced by your examples.
Do we need final CAD models before requesting a proposal?
No. Provide representative files and identify missing material. Ask for model assessment and preparation to be included where required.
Should we send every product in the catalogue immediately?
Start with examples that reveal the range's structure and exceptions. Agree how the supplier will assess the remaining families and validate the completeness of the final scope.
