Sales and delivery workflow / Configurix guide

From first call to final installation: managing pergola projects in one system

A pergola project needs more than a design file. Keep the buyer's requirements, chosen configuration, commercial revision and next responsible person connected as the project moves through sales and delivery.

Capture a brief that sales can act on

The first inquiry should establish the required product, approximate dimensions, intended location, timing and contact details. Do not treat every inquiry as an accepted project. Separate customer preferences from measured site conditions and record the source of the inquiry so the team knows which configuration or campaign prompted the conversation.

Assign an owner and a next action. A record without responsibility can be overlooked even in a polished dashboard. Agree which information is required before discovery, quotation, survey and order release. The form should collect what the next step needs rather than requiring every technical detail before a salesperson has spoken to the buyer.

Keep the configuration attached to the conversation

As the buyer chooses a footprint, roof, glazing, screens and finish, retain the saved configuration with the project. Record alternatives as identifiable versions, not disconnected screenshots with ambiguous filenames. A salesperson returning to the project should be able to identify the design that supports the current proposal.

Configurix combines pergola product configuration with the agreed quotation and project workflow. Tenteks Italia's approved implementation includes Pergotenda and bioclimatic pergolas within multi-product software and a website. This shows a delivery scope broader than an isolated model, without suggesting that every business uses the same operational process.

Define the commercial decision and its revision

A quotation should identify its product configuration, scope, price, validity and required next action. Keep internal notes separate from customer-facing documents. Decide who can discount, approve exceptions and issue the proposal. An updated draft and a proposal already sent are different commercial states.

Elite Aluminum's approved Configurix project includes automatic quotations with individual item SKU numbers. For another company, the item identifiers, document layout and pricing rules need to be supplied and configured. Acceptance and any digital-signature or payment steps should follow the process and integrations agreed for that implementation, rather than being assumed from a feature label.

Schedule work with an owner and prerequisites

A sales appointment, site survey and installation appointment serve different purposes. Record the event type, customer, assigned team and related project. Before confirming an installation date, check the operational prerequisites your business uses, such as approved measurements, order status, required components and access arrangements.

Specify reminder rules, cancellation handling and rescheduling responsibilities. Calendar and appointment workflows can form part of a Configurix implementation, but an external calendar connection needs its own scope and ownership. The useful question is which project event creates or updates which appointment, and what happens when its date changes.

Give installation and support the accepted record

The installer needs the accepted configuration revision, verified site information, relevant drawings, component or packing information and practical instructions. Sales needs to know whether a later request changes the accepted scope. Make the handoff explicit and confirm that each team can access only the records and actions appropriate to its role.

After installation, keep completion and follow-up information attached to the project. Define which catalog updates, documents and integrations Configurix will maintain and which remain under your team's ownership. Test one representative project from inquiry through quotation and handoff before expanding to the whole catalog; a connected record is only useful if each department can actually use it.

What to check with your team

  • Inquiry linked to its product and source
  • Owner and next action recorded
  • Current configuration and quote revision identifiable
  • Appointments connected to the project and prerequisites
  • Accepted installation record and support ownership agreed
